This Privacy Policy explains how we manage personal information in connection with DriveExpert (the Service) and is intended to meet the requirements for an APP privacy policy under the Privacy Act 1988 (Cth) and Australian Privacy Principle (APP) 1.4.

1) WHO WE ARE

DriveExpert is provided by AlgoDriven Limited (AlgoDriven, we, us, our).

In Australia, we may also operate and provide local support through our related company AlgoDriven Pty Ltd. Our corporate group may also include other related entities (including an entity that owns intellectual property used in the Service).

When we refer to AlgoDriven in this policy, we mean AlgoDriven Limited and (where relevant) our related bodies corporate and personnel who operate or support DriveExpert.

This policy applies to personal information we handle in connection with DriveExpert in Australia. Dealerships and automotive businesses that use DriveExpert may also have their own privacy policies and may handle your personal information separately from us.

2) WHAT DRIVEEXPERT IS USED FOR

DriveExpert is a mobile and web application used by dealerships and automotive businesses to help manage test drives and loan vehicles. For example, dealerships may use DriveExpert to:

  • verify driver identity (including driver licence details),
  • record when vehicles are issued and returned (for example, start/stop times), and
  • support dealership operational requirements (for example, managing tolls, traffic/parking infringements, insurance requirements, and theft prevention).

If you are a driver/test driver, the dealership you are dealing with may also have its own privacy policy. This policy explains how we handle personal information in DriveExpert.

3) WHAT “PERSONAL INFORMATION” MEANS

Personal information generally means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

4) THE KINDS OF PERSONAL INFORMATION WE COLLECT AND HOLD

The kinds of personal information we collect and hold depend on how the Service is used and your role (for example, dealership staff, administrators, or drivers/test drivers). We may collect and hold:

A. IDENTITY AND CONTACT DETAILS

  • name
  • email address
  • phone number
  • address

B. DRIVER LICENCE INFORMATION (IDENTITY VERIFICATION)

Where a dealership uses DriveExpert to verify a driver/test driver, we may collect driver licence information such as:

  • licence number
  • date of birth
  • address
  • other details shown on the licence (for example, licence class and expiry date)

C. DRIVER LICENCE PHOTO (IMAGE)

Where a dealership uses DriveExpert to capture an image of a driver licence (for verification and recordkeeping), we may collect and hold a photo of the licence.

D. VEHICLE AND BOOKING INFORMATION

  • vehicle registration/plate number
  • VIN
  • make/model
  • dealership/fleet/asset identifiers
  • test drive / loan vehicle allocation details

E. TEST DRIVE / LOAN PERIOD INFORMATION

  • start time and end time
  • who drove / who the vehicle was issued to (as recorded by the dealership)
  • driver signature (captured when agreeing to test drive/loan conditions)

DriveExpert does not collect precise GPS route history or background location tracking as part of the Service (based on our current configuration).

F. DEVICE AND APP INFORMATION (LOGS/DIAGNOSTICS)

We may collect device and app information such as:

  • IP address
  • device identifiers
  • operating system and version
  • browser type (web app)
  • app version
  • diagnostic logs, security logs, and crash reports

G. COMMUNICATIONS AND SUPPORT

  • support requests and correspondence (for example, emails or support tickets)
  • information you provide when you contact us

H. BILLING INFORMATION (DEALERSHIP CUSTOMERS)

If you are a dealership/business customer, we may collect billing-related information such as billing contact details and invoice/payment status. Payments for dealership subscriptions may be processed via Stripe. We do not store full card details ourselves; Stripe processes payment details on its systems.

WHAT WE DO NOT COLLECT (BASED ON CURRENT FEATURES)

  • we do not collect audio recordings
  • we do not collect dashcam or other video
  • we do not collect sensitive information (such as health or biometric information) as part of DriveExpert

5) HOW WE COLLECT PERSONAL INFORMATION

We collect personal information in several ways:

A. INFORMATION PROVIDED DIRECTLY

We collect personal information when it is entered into DriveExpert by dealership staff and administrators, and/or drivers/test drivers (where relevant). This may include an electronic signature captured when a driver/test driver agrees to test drive/loan conditions.

B. DRIVER LICENCE CAPTURE AND OCR

DriveExpert may use the camera on a device to capture a photo of a driver licence. We may then use OCR (optical character recognition) to extract licence details so they can be recorded in the Service.

C. INFORMATION COLLECTED AUTOMATICALLY (LOGS)

When you use DriveExpert, we may collect certain technical information automatically, primarily logs and diagnostics (for example, IP address, device details, security logs, and crash logs).

D. PAYMENTS (DEALERSHIP CUSTOMERS)

If you are a dealership customer paying for the Service, Stripe may collect payment information directly from you. We may receive limited information such as payment confirmation and transaction identifiers.

E. INFORMATION FROM THIRD PARTIES

At this time, we do not collect personal information about drivers/test drivers from external third parties (for example, brokers or marketing lists), except where a dealership enters that information into DriveExpert.

6) WHY WE COLLECT, HOLD, USE AND DISCLOSE PERSONAL INFORMATION

We collect, hold, use and disclose personal information to:

A. PROVIDE AND OPERATE DRIVEEXPERT

  • create and manage accounts
  • administer dealership access and permissions (role-based access)
  • record test drive/loan vehicle events (including start/stop times)
  • record driver/test driver acceptance of test drive/loan conditions (including signature)

B. SUPPORT DEALERSHIP OPERATIONAL REQUIREMENTS

Including to help dealerships:

  • meet insurance and compliance requirements
  • manage tolls, traffic infringements and parking fines (where relevant)
  • reduce theft risk and support vehicle recovery processes

C. PROVIDE CUSTOMER SUPPORT

Including to respond to enquiries, troubleshoot issues, and maintain service quality.

D. MAINTAIN SECURITY AND INTEGRITY

  • monitor for suspicious activity
  • maintain audit trails and access logs
  • protect the Service and users against misuse and unauthorised access

E. ANALYTICS AND SERVICE IMPROVEMENT

  • improve DriveExpert performance and reliability
  • develop new features and improve user experience
  • produce operational and compliance reporting for dealership customers

F. LEGAL AND REGULATORY COMPLIANCE

Including where required or authorised by law, court order, or to cooperate with regulators/law enforcement.

7) HOW WE HOLD AND PROTECT PERSONAL INFORMATION

WHERE INFORMATION IS STORED

We store DriveExpert data on AWS and Google Cloud infrastructure located in Sydney, Australia (based on our current configuration).

ACCESS CONTROLS

Access to DriveExpert data is managed via role-based access. This means different users (for example, dealership administrators, dealership staff, and AlgoDriven support personnel) have different levels of access depending on their role.

SECURITY MEASURES

We take reasonable steps to protect personal information, including:

  • encryption in transit and at rest
  • multi-factor authentication (MFA) for relevant administrative access
  • access logging and audit trails
  • suspicious activity monitoring and flagging
  • additional technical controls designed to restrict access to driver licence information (including the use of write-only storage controls for certain driver licence data)

RETENTION

We retain personal information for as long as needed for the purposes described in this policy, unless a longer retention period is required or permitted by law.

In particular:

  • Driver licence photos: retained for a period chosen by the dealership between 1 and 365 days (default 120 days), unless we need to retain them longer for legal, compliance or dispute purposes.
  • Driver licence details extracted by OCR: retained for a period chosen by the dealership between 120 and 365 days (default 120 days), unless we need to retain them longer for legal, compliance or dispute purposes.
  • Other information (accounts, vehicle/test drive records, logs, and support records): may be retained while dealership accounts remain active and for operational, audit, compliance and dispute-handling purposes. This includes driver signatures captured as part of the test drive/loan record.

DriveExpert does not currently provide an in-app/self-service deletion function for end users. If you have a request regarding your information (including access or correction), please contact us (see section 10).

8) WHO WE DISCLOSE PERSONAL INFORMATION TO

We may disclose personal information to:

A. DEALERSHIPS AND AUTOMOTIVE BUSINESS CUSTOMERS

If you are a driver/test driver, the relevant dealership/business customer may be able to view information such as:

  • your identity details as recorded (including driver licence details), and
  • test drive / loan vehicle records (including start/stop times and who drove)
  • test drive/loan acknowledgement records (including driver signature), where recorded

B. OUR SERVICE PROVIDERS

We use third-party providers to help operate DriveExpert, including providers for:

  • cloud hosting and infrastructure
  • analytics and crash reporting
  • customer support / ticketing systems
  • email and SMS delivery
  • payments and billing processing (Stripe, for dealership customers)

These providers may handle personal information only to provide services to us.

C. RELATED COMPANIES AND PERSONNEL

We may share personal information with our related bodies corporate and personnel where necessary to operate, support and improve DriveExpert.

D. PROFESSIONAL ADVISERS

Such as lawyers, auditors, or insurers, but only where necessary (for example, for legal advice, compliance, or dispute handling).

E. GOVERNMENT, REGULATORS, AND LAW ENFORCEMENT

Where required or authorised by law, or where necessary to respond to lawful requests.

F. BUSINESS TRANSACTIONS

If there is a merger, acquisition, restructure or asset sale, personal information may be disclosed to advisers and a prospective buyer (and their advisers) as part of that process, subject to appropriate confidentiality protections.

9) OVERSEAS DISCLOSURE OF PERSONAL INFORMATION

DriveExpert is hosted on AWS and Google Cloud infrastructure located in Sydney, Australia. However, in operating and supporting the Service, personal information may be accessed from, processed in, stored in, or disclosed to recipients outside Australia.

For example, overseas access/disclosure may occur to:

  • AlgoDriven related companies and personnel (including support, engineering and security teams), and
  • third-party service providers (and their support personnel) that help us provide DriveExpert (such as cloud hosting, analytics, email/SMS and payments), and
  • professional advisers or regulators where required or authorised by law.

At the date of this policy, personal information may be accessed from (or disclosed to recipients located in):

  • Philippines
  • Hong Kong
  • United Arab Emirates
  • Egypt
  • United States

Other countries may apply depending on the dealership’s chosen integrations and our service providers. We will update this section when practicable. You can contact our Privacy Officer for more information about overseas disclosures relevant to your circumstances.

Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it in accordance with the Australian Privacy Principles, unless an exception applies.

10) ACCESSING AND CORRECTING YOUR PERSONAL INFORMATION

SELF-SERVICE ACCESS

Where available, you may be able to access certain personal information by logging into your DriveExpert portal/account.

ACCESS AND CORRECTION REQUESTS

You may request access to, or correction of, the personal information we hold about you by contacting our Privacy Officer:

Verification: We will generally require the request to come from a confirmed/known email address (or may ask for additional verification) before processing it.

Timeframe: We aim to respond to access and correction requests within 10 working days.

In limited circumstances, we may refuse access or correction where permitted by law. If so, we will explain why (where permitted) and how you can complain.

11) PRIVACY COMPLAINTS

If you think we have breached the Australian Privacy Principles (or any registered APP code that applies to us), you can lodge a complaint with us.

OUR COMPLAINT HANDLING TIMEFRAMES:

  • We aim to acknowledge your complaint within 7 calendar days
  • We aim to resolve your complaint within 30 days

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC).

12) CHILDREN / UNDER 18S

DriveExpert is designed for dealership and automotive business use and is not specifically directed at children. In some cases, a driver/test driver may be under 18. If you believe we have collected personal information from a person under 18 without appropriate authority or consent, please contact us.

13) CHANGES TO THIS PRIVACY POLICY

We may update this policy from time to time. The latest version will be published at:

We will update the “Last updated” date at the top of this policy when changes are made.
